How to choose your alumni software: the 10 criteria to check in 2026

The alumni software market has around a dozen serious vendors. Their pricing, philosophy and modules vary enormously. Here is the exhaustive list of criteria to evaluate before signing — whether you are an engineering school, a business school, a university or an independent alumni association.

1. Directory enriched by members themselves

A directory that depends on admins to stay up to date dies within 6 months. Check that the platform lets every alumnus edit their own profile (company, role, city, photo, LinkedIn), with living profiles that update automatically. Also look for: school-customizable fields, one-click Excel/CSV import, optional admin validation.

2. Interactive geolocated world map

Essential for any network that extends beyond a single city. Visualize your alumni on a map, filter by country/region, click a zone to see profiles. Watch out: some platforms offer only a static map or charge extra for it.

3. Events with ticketing and QR codes

Annual gala, afterworks, industry talks. The platform must handle online registration, payment (Stripe preferred, as the most universal), individual QR code generation, mobile check-in scanning. Check whether this is included or billed as an option.

4. Automated dues with Stripe

Online payment, configurable periods, automatic email reminders, dues status visible on each profile. Avoid platforms that only offer a basic module without reminders or that take a commission on dues on top of the subscription.

5. CGE/CTI-compliant graduate employment surveys (for schools)

Legal obligation for any school awarding an RNCP-registered qualification. 9. Customization and domain

Check: color and logo customization (ideally included from the base plan), custom domain name (alumni.your-school.com), SSO/SAML for integration with the school's IT environment, full data export at any time.

10. Transparent pricing without abusive commitments

Beware of systematic "Request a quote" pricing, which often hides €3,000-5,000/month rates and 3-year commitments. Prefer platforms that display their pricing online, offer a free self-service trial, and operate without commitment (month-to-month).

Three common mistakes to avoid

Choosing on the basis of a 30-minute sales demo

Every platform looks great in a demo. What matters: a self-service free trial with your real data for at least 14 days. If a vendor refuses, that's a signal.

Underestimating the total 3-year cost

Software at €3,000/month is €108,000 over 3 years. Software at €299/month is €10,764. Multiply by the real commitment duration before accepting a quote.

Forgetting the CGE/CTI dimension
