How much does alumni management software cost in 2026?

The short answer: from free to over €15,000/year. The honest answer: no one can hand you a single figure, because most vendors say "quote-based". Let's break down the real market price bands, what drives the bill, the hidden costs to flush out — and why public pricing should be your first criterion.

TL;DR

Alumni software ranges from €0 (HelloAsso, limited to payments) to over €15,000/year (enterprise tiers like Hivebrite, quote-based). In between, a dedicated platform with public pricing like Terrilink costs €69 to €299/month (≈ €830 to €3,590/year). The catch: AlumnForce, Hivebrite, Graduway and Datalumni do not publish their prices — you cannot budget without entering a sales cycle. What drives the bill: member count, modules, setup fees, migration, training, commitment. Before signing, ask for the 3-year total cost, not the headline rate.

2026 market price bands

The market sorts into four pricing families. Pricing verified in June 2026: public for Terrilink and Mighty Networks; "quote-based" (not published) for AlumnForce, Hivebrite, Graduway and Datalumni — where we report the vendor's wording rather than invent a figure.

What actually drives the price

Two "alumni" tools can be 1-to-10 apart for similar needs. Five factors explain the gap:

  • Member / contact count. Most vendors bill by volume tiers. Going from 1,000 to 5,000 alumni can move you to a new tier — and a new price — with no change in features.
  • Active modules. Directory and communication are the base; the CGE/CTI employment survey, the AI search engine or mentorship are often reserved for higher plans.
  • Setup / onboarding fees. With many quote-based vendors, an installation cost is added in year one — sometimes equal to several months of subscription.
  • Data migration. Importing a clean file is included; cleaning a duplicate-ridden Excel can be billed. See migrating from Excel to a platform.
  • Commitment and billing. Monthly no-commitment vs annual; some require a multi-year contract. And for payments, watch the transaction fees (e.g. Mighty Networks).

Hidden costs to flush out before signing

The headline monthly rate is almost never the real cost. Four lines often fly under the radar: year-one setup fees, member tiers that trigger an automatic increase, separately billed options (SSO, custom domain, advanced exports), and the exit cost if data portability is poorly planned — a topic covered in alumni platform data portability. The right question is not "how much per month?" but "what does it cost me over 3 years, all in?".

Why so many vendors hide their price

"Quote-based" is not an accident — it's a commercial choice. It lets vendors adapt the price to the institution's size and perceived budget, and keep the upper hand in negotiation. Rational for the vendor; a cost for the buyer: you cannot compare two solutions, nor budget internally, without first talking to a salesperson and waiting for a proposal. That's exactly what the guide to choosing alumni software flags under "pricing transparency".

Terrilink: public pricing, three plans

Terrilink publishes its rates — the exception on this market. Three plans, no hidden setup fees, with a 14-day trial:

  • Starter — €69/month: directory, profiles, news feed, messaging, customization.
  • Pro — €149/month: everything in Starter + world map, discussion groups, events, dues, career center, mentorship.
  • Premium — €299/month: everything in Pro + Network Radar AI, hosting module, CGE/CTI employment surveys, custom domain, priority support.

That is about €830 to €3,590/year depending on the plan — an order of magnitude you know before requesting a demo, not after. Details on the pricing page.

What budget for what size?

  • Small association / single class (≤ 200 members), zero budget: HelloAsso to collect payments, moving to a dedicated platform as the network grows.
  • Structured alumni network or diaspora (a few hundred to a few thousand members): a public-priced platform in the €800 to €3,600/year band covers the essentials, no quote needed.
  • School bound by a CGE/CTI survey: aim for the plan with native employment surveys (with Terrilink, the Premium plan).
  • Very large international community (10,000+ members, multi-chapter): enterprise tiers (quote-based) make sense — demand the 3-year total cost.

In short

Alumni software costs whatever the vendor is willing to tell you — and most won't. Before any sales cycle you can already frame your budget: free but limited (HelloAsso), €800 to €3,600/year for a public-priced dedicated platform, tens of thousands of euros for enterprise. First reflex: favour a vendor that shows its price and offers a trial — you'll know what you pay, and you'll test it before signing. That's Terrilink's approach.
